Creating Archive Files (CO-PA)

When you generate an operating concern, the system automatically generates two archiving objects (COPA1_xxxx for costing-based Profitability Analysis and COPA_xxxx for account-based Profitability Analysis, where xxxx is the name of the operating concern) and the corresponding write, delete, and reload programs.

The program archives the tables listed in the section Archiving Objects (CO-PA)


To archive your transaction data, proceed as follows:

  1. On the initial screen of the archiving transaction, choose Archive. The system displays the Archive Administration: Create Archive Files screen.
  2. Use the Possible entries function to choose the variant with which you want to run the archiving program. If no variants exist, you can create one by choosing the pushbutton Maintain. For more information about creating a variant, see the online documentation (F1 help) for the Variant field.
  3. You can enter the following selection parameters for your variant:

    · Fiscal year

    · Period
    You can only archive time intervals of less than one fiscal year if you are archiving actual line items only.

    · Plan/actual indicator

    · Version

    · Record type (only in costing-based CO-PA)

    If you want the system to create an archive, select the Create archive field. Otherwise the system runs the program in the test mode. That means that it only selects the data and generates a log.

    If you want to run the deletion program in the test mode, select the Deletion program in test mode field. This option is only relevant if the deletion program is started automatically (see Goto ® Customizing).

    If you only want to archive line items, select the Archive line items only field. In this case the system will not archive the segment level.

    It does not make sense to archive the segment level for the current year, since it is still being updated.

    Similarly, you should only archive line items for previous periods, since these can still be posted in the current period.

  4. Choose Start date to define when the program should run.
  5. Choose Spool parameters to specify how the archiving log should be managed. If you want the archiving program to automatically start the delete program, these spool parameters apply for the log for the delete program as well.

  7. Under Environment ® Customizing, you can make other settings, such as
  8. · The size of an archive file

    · The logical file name

    · The connection to ArchiveLink

    · Automatic execution of the deletion program

  9. Choose Create job to create the job with the settings you have made.

By choosing Goto ® Job overview, you can display a list of all the jobs that exist for this archiving program.
