Calling a Report

Prerequisites

When you need to display or analyze information from the data base, you call a report. Some reports are linked directly to tasks in the R/3 System You can call such a report by choosing the appropriate function from one of the menus while you are working in that task.

Reports that are directly linked to your task sometimes use the data already entered on your screen as selection criteria, meaning you do not have to enter selection criteria when the report is called.

Procedure

Calling a Report in Your Task

To call a report in your task, proceed as follows:

  1. Click on the menus and sub-menus until you find the function that corresponds to the report you want to call. For example, to display a report of purchase orders issued to particular vendors, you would choose Purchase order ® List display ® By vendor from the Purchasing menu.
  2. Click on that function.

If no additional selection criteria must be entered for the report, the system executes the report and displays the resulting list on the screen.

If additional selection criteria must be entered for the report, the system displays the selection criteria entry screen for the report. See Selection Criteria for more information.

Calling Any Report

If a report is not available directly from the task you are working in or from other menus, you can call it by starting the Reporting function.

To call a report with the report function, proceed as follows:

  1. From the menu bar, select System ® Services ® Reporting.
  2. The report selection screen appears, as shown here.

  3. In the Program field, enter the report name. If you do not know the name, see Finding the Report Name for the Report You Want to Call.
  4. Click on the Execute button.
  5. The system displays the selection criteria entry screen. An example is as shown here.

  6. In the selection criteria entry screen, enter the selection criteria.
  7. If you want to enter your selection criteria using a variant, you can display a list of variants and choose one from a list.

  8. When you are done entering selection criteria, choose Program ® Execute.

The system executes the report and displays the resulting list on the screen.
